receptionist position

(PERMANENT PART-TIME)

 
 

Person Centred Psychology & Allied Health is an established and thriving practice located in leafy South Melbourne comprising of Psychologists and a Dietitian. We are a supportive and welcoming team who work with a range of clients across the lifespan.

As our practice grows, we are seeking a superstar receptionist to join us in a permanent part time position. This role will be for 2 evening shifts per week and Saturday mornings (approximately 18-20 hours per fortnight). 

About the role:

  • Greeting and welcoming clients

  • Attending to and directing phone and email enquiries

  • Calendar management including scheduling and confirming appointments for clients, maintaining accurate appointment schedules and allocating clients from the waitlist

  • Processing payments, securely storing payment details and lodging claims to Medicare

  • Assisting and communicating with clinicians and clients alike

  • Responding to client enquiries and providing general information about the practice and it’s services.

  • File management and miscellaneous administration tasks

  • Maintaining a clean and organized practice space

About you:

  • Reception/administration experience necessary; experience with reception/administration in health services and passion for support mental health is ideal.

  • Oodles of integrity, takes pride in the great job you are doing and are passionate about providing a positive experience to both clients and colleagues.

  • Demonstrated initiative, adaptability, and flexibility in a fast-paced environment.

  • Combination of warmth and competence.

  • Highly organized, detail-oriented, and efficient in managing administrative tasks.

  • Proven ability to multitask and manage high-pressure work while maintaining efficiency and accuracy.

  • Clear and professional written and verbal communication skills.

  • Thorough understanding of ethical conduct in a health setting eg; maintaining confidentiality.

  • Effective time management skills with the ability to prioritize tasks.

  • Self-starter with the ability to work autonomously while also being a collaborative team player.

  • Ability to manage emotionally challenging situations with empathy and professionalism.

  • Positive attitude, excellent problem-solving skills, and a willingness to learn and grow in a challenging and rewarding environment.

  • Enjoys being an integral part of a close-knit team that celebrates occasions and enjoys socializing together, including attending sporting or social events and occasional getaways.
